Application Tracker for Gmail — Chrome Extension
1. Introduction
Application Tracker for Gmail ("the Extension") helps you track and classify job application emails in your Gmail
account. This privacy policy explains what data the Extension accesses, how it is used, and how it is protected.
2. Data We Access
The Extension requests the following permissions to function:
-
Gmail (read, labels, modify) — Read your email messages to identify job-application
related emails, create and apply labels to organize them, and modify label assignments on messages.
-
Identity — Authenticate your Google account(s) via OAuth 2.0 so the Extension can
access Gmail on your behalf.
-
Storage — Save your settings, cached classification results, and check-status data
locally in your browser.
-
Alarms — Schedule periodic background checks for new emails.
-
Side Panel — Display the Extension interface in Chrome's side panel.
3. How Your Data Is Used
-
Email content is read solely to identify and classify job-application emails into categories
such as Applied, Next Step, Rejected, Technical Round, Final Round, and Offer.
-
Email snippets and metadata are sent to the OpenAI API (using the API key you provide) for
AI-powered classification. No data is sent unless you configure your own OpenAI API key.
-
Classification results are stored locally in Chrome storage on your device.
-
Gmail labels are created and applied to your emails to help you organize application-related
messages.
4. Third-Party Services
The Extension communicates with the following third-party services:
-
Google Gmail API (
googleapis.com) — To read emails, manage labels, and
modify messages. Governed by
Google's Privacy Policy.
-
OpenAI API — To classify email content using AI. You provide your own API key, and data
sent is governed by
OpenAI's Privacy Policy
and your own OpenAI account terms.
5. Data Storage & Retention
- All Extension data (settings, classification results, check status) is stored locally in your browser using Chrome's storage API.
- No data is stored on any external server operated by the Extension developer.
- Uninstalling the Extension removes all locally stored data.
6. Data Sharing
The Extension does not sell, share, or transfer your data to any third parties, except as
described in Section 4 (Google Gmail API for email access and OpenAI API for classification, both initiated by
you).
7. Data Security
- Authentication is handled through Google's OAuth 2.0 via the Chrome Identity API. The Extension never sees or stores your Google password.
- Your OpenAI API key is stored locally in Chrome storage and is never transmitted anywhere other than directly to the OpenAI API.
- All network requests use HTTPS encryption.
8. Your Rights & Control
- You can revoke Gmail access at any time from your Google Account permissions.
- You can remove your OpenAI API key from the Extension's Options page at any time.
- You can uninstall the Extension to delete all locally stored data.
9. Children's Privacy
The Extension is not intended for use by children under the age of 13 and does not knowingly collect data from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated
effective date.
